A clean core approach to VIM implementation

VIM implementations are often seen as complex and heavily customised. In most cases, that complexity isn’t necessary. Our implementation approach starts from a clean core. Because we know VIM inside out, we rely on standard functionality wherever possible and make deliberate choices when extensions are needed. This keeps implementations manageable, scalable and easier to maintain as your organisation grows.

We start with design workshops to understand what you want to achieve with VIM. Together with the people working in the process every day, we look at how invoices flow today, where decisions are made and where friction occurs.

To avoid abstract discussions, we work from a basic, standard VIM setup from the start. This allows us to make processes tangible during the workshops, adjust flows on the spot and immediately test assumptions against reality.

After design, the processes defined together with your teams are implemented in VIM. The build phase is organised in line with the project context, with review moments to validate progress and make adjustments where needed.

We focus on enabling internal key users, who understand the context and have credibility with their colleagues. Training is organised in a hybrid format, combining webinars, live interactive sessions and documentation. Users can follow along in the system, ask questions in real time and build confidence step by step.

Before go-live, we validate the solution together with your teams through user acceptance testing (UAT). We walk through the full invoice flow end to end in a test environment, side by side with key users. Questions and issues are addressed on the spot, turning testing into a learning moment rather than a checklist exercise.
